Job Title: Accounting/ Bookkeeper Assistant

Classification: Non-Exempt

Reports to: Senior Bookkeeper , Executive Director or CPA

Job Duties

Accounting Assistant/Clerk or Bookkeeping clerks

1. Use bookkeeping software, spreadsheets, and databases

2. Enter (post) financial transactions into the appropriate computer software

3. Receive and record cash, checks, and vouchers

4. The use of basic mathematics (adding, subtracting) throughout the day.

5. Will handle specific tasks as assigned.

6. Will use specialized computer accounting software, spreadsheets, and databases to enter information from receipts or bills, must be comfortable using computers to record and calculate data. Some manual techniques may still be used.

7. Handle costs (debits) and income (credits) into the software, assigning each to an appropriate account

8. Produce reports, such as balance sheets (costs compared with income), income statements, and totals by account

9. Check for accuracy in figures, postings, and reports

10. Reconcile or note and report any differences they find in the records.

11. Handle as assigned records that include expenditures (money spent), receipts (money that comes in), accounts payable (bills to be paid), accounts receivable (invoices, or what other people owe the organization), and profit and loss (a report that shows the organization’s financial health).

12. Prepare bank deposits, verifying receipts.

13. Duties may include to assist in payroll, billing, prepare invoices, track of overdue accounts or keep track of overdue bills.

14. Duties may include record transactions and post debits (costs) and credits (income).

15. check figures, postings, and documents to ensure that they are mathematically accurate and properly coded.

16. For smaller errors, such as transcription errors, they may make corrections themselves.

17. In case of major discrepancies, notify senior staff Bookkeeper.

18. Accounts payable and/or Accounts receivable duties as assigned.

19. The responsibilities of our agencies Accounting Assistant/Clerk ensure that account data are complete and accurate, and code documents according to an organization’s procedures.

20. Complete office opening and closing procedures during scheduled work hours.

21. Use Extended Reach as needed.

22. Create and maintain accounting files, ensuring compliance and Licensing regulations, Dangerfield

Institute of Urban Problems policy, and the DCFS contract compliance.23. Handle the purchasing and distribution of office supplies.

24. Attend meetings/trainings as assigned.

25. Maintain days of care and termination list on a monthly basis.26. Maintain Payroll Complaint Logs.

27. Handle outgoing correspondence, i.e. postage.

28. Coordinate technical support for office equipment, i.e. copy machine, fax machine.

29. Record and distribute minutes from department meeting

30. Develop and maintain positive working relationships with staff

31. Prepare and submit department feedback to agency newsletter on a qtrly basis

32. Perform other duties as assigned by Director and/or Administrator

Qualifications: An A.A. Preferred or B.A. in a degree of Accounting Preferred will consider Bookkeeping experience in leu of degree
