Our client, a white-glove third-party service provider that is integral in the construction & development process seeks an Accounts Receivable/Administrative Assistant to join their growing, collaborative team.
The Accounts Receivable/Administrative Assistant spends their time 50/50 between providing support for accounts receivable alongside the person responsible for AP/AR, and also supporting the company’s small but growing Construction Draw/Accounting team.
The ideal Accounts Receivable/Administrative Assistant candidate will energetically support the company’s efforts in providing first-class service to their clients who are both the developers of CRE property and the lenders or capital sources funding those projects. They possess strong written and verbal communication skills, organization, a high-level of detail orientation, and passion for accuracy.
A day in the life of a successful Accounts Receivable/Administrative Assistant includes, but is not limited to:
- Processing client payments, maintaining accurate payment records, and reconciling daily deposits while preparing bank documentation
- Managing accounts receivable operations including invoice preparation, distribution, and follow-up on outstanding balances
- Supporting the AP/AR team with monthly aging reports, analysis, and resolution of billing discrepancies
- Organizing and maintaining meticulous digital and physical filing systems for financial and construction draw documentation
- Providing administrative support through professional correspondence, meeting coordination, and serving as a client point of contact
- Assisting the Construction Draw/Accounting team with document verification, organization, and special projects
- Supporting month-end and year-end financial processes while ensuring data accuracy in the company's financial systems
RequirementsThe ideal Accounts Receivable/Administrative Assistant possesses the following experience & skills:
- At least 1-2 years' experience in accounting and administrative assistant duties in a professional environment
- Exceptional written and verbal communication skills, with the ability interact positively with internal and external stakeholders
- Proficiency in MS Office Suite, QuickBooks, and a general technological savvy
- A resourceful, proactive, and optimistic approach to their work
- Excellent organizational, project management, and time management skills
- Strong work ethic, team spirit, eagle eye attention to detail, and ability to meet multiple deadlines
- Ability to juggle several projects concurrently and thrive in a fast-paced environment

Pay: $45,000.00 - $50,000.00 per year
