Job Summary
Miniso USA is seeking a detail-oriented and highly organized Payroll Administrator to join our Human Resources team at our U.S. headquarters in West Covina, CA. The ideal candidate will have experience processing payroll for multi-state employees, ensuring accuracy and compliance with federal, state, and local regulations. This role reports directly to the Payroll Manager.
Duties
- Process and ensure the accuracy of weekly and bi-weekly payroll, including on-cycle and off-cycle payments.
- Calculate and validate wages, overtime, retroactive adjustments, bonuses, benefits, tax withholdings, and imputed income.
- Review and audit employee timecards to ensure compliance with company policies and labor laws.
- Investigate and resolve payroll discrepancies, including timekeeping errors, attendance records, and general ledger entries.
- Assist with payroll-related transactions such as new hires, terminations, final payments, background checks, garnishments, child support, and tax liens.
- Manage ACH returns, reversals, check reissuance, and special pay adjustments.
- Maintain and update sick leave, vacation, and other time-off policies in the payroll system, ensuring compliance with federal, state, and company guidelines.
- Reconcile payroll taxes, ensuring timely deposits and accurate filings, including W-2s, 1095-Cs, and other regulatory reports.
- Prepare and submit reports, including EEOC, Census, Form 5500, and unemployment claims.
- Ensure payroll data integrity by uploading, verifying, and analyzing information across systems.
- Generate and distribute monthly payroll reports for management review and compliance audits.
- Maintain confidentiality of payroll and employee data while handling sensitive information.
Qualifications
- Associate’s degree in Accounting, Finance, Business Administration, or a related field (required).
- 3+ years of payroll processing experience, preferably handling 3,000+ employees.
- Retail industry and multi-state payroll experience (required).
- At least 2 years of experience using ADP payroll systems.
- Strong understanding of payroll compliance regulations at federal, state, and local levels.
- Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
- Experience with payroll conversions, data mapping, and system implementations.
- Strong analytical and problem-solving skills with high attention to detail.
- Ability to work under pressure, meet deadlines, and manage multiple priorities.
- Excellent interpersonal and customer service skills for cross-functional collaboration.
- Must be able to pass a background check and drug screening.
