Requirements:
- 1-3 years of job-related experience / 1+ year experience in data entry and analysis or payroll administration
- Bachelor's degree in business or human resources related field.
- Proficiency in Microsoft Word, Excel, Power Point, ADP and Outlook.
Job Responsibilities:
The Payroll Coordinator is responsible for ensuring the accurate and timely processing of payroll functions while maintaining full compliance with company policies, as well as state and federal regulations. This role involves managing payroll data, resolving discrepancies, and collaborating closely with HR and Operations to ensure seamless payroll processing. The Payroll Coordinator will play a key role in collecting, verifying, and processing employee timekeeping data, ensuring employees are paid accurately and on time. This role focuses on compliance monitoring, internal audits, and reporting to mitigate risks and maintain payroll accuracy.
Essential Duties:
- Communicate with Production Managers and Supervisors to collect and verify all Timesheet Correction Forms and Time Off Requests.
- Verify and enter missed punches for all production employees in ADP.
- Process vacation and sick time requests in ADP, ensuring accurate leave tracking.
- Audit graveyard and swing shift hours, applying temporary shift differential codes in ADP as needed.
- Upload and update employees' weekly work schedules in ADP, making adjustments as required.
- Monitor daily employee attendance across all departments and track absenteeism.
- Conduct audits to identify employees with missing hours, generate zero-hour reports, and wage and hour audits.
- Prepare and maintain daily attendance reports for both supervisors and agency employees.
- Support attendance-related progressive discipline processes for production associates.
- Prepare and process Personnel Action Forms (PAFs) for shift changes.
- Enroll new hires' biometric data in time clock systems as needed.
- Assist with paycheck distribution on payday.
- Develop and maintain various data entry templates, historical reports, and trend analysis for payroll insights.
- Assist with special payroll projects and initiatives.
- Perform additional duties as needed to support payroll and HR operations.
Knowledge, Skills, & Abilities:
- Experience in payroll processing and timekeeping systems
- Excellent attention to detail and problem-solving skills, with the ability to identify and resolve discrepancies.
- Strong organizational and communication skills, with the ability to collaborate across departments.
- Proficiency in Microsoft Excel and payroll software for reporting and data analysis.
- Ability to work in a fast-paced environment while maintaining accuracy and confidentiality.
- Extensive knowledge with Excel formulas, pivot tables, graphs, etc.
- Type 50+ wpm
- Candidate must be able to communicate well, handle a fast-paced environment, capable of handling stressful situations.
- Strong analytical, verbal, written, interpersonal and organizational skills.
- Bilingual a plus (English/Spanish)
