Your Role:
As the Office Coordinator of a new entity within the Liberty Ecosystem, you will be the driving force behind our headquarters, ensuring it thrives as a hub of innovation and action. You'll oversee smooth operations, empowering our team to focus on advancing our mission.
This role is perfect for a self-starter who works independently, values collaboration, and takes initiative in a hybrid environment. You won’t just manage operations—you’ll ensure our space remains a center of impact where ideas grow and action sparks change.
As the first point of contact for visitors and clients, adaptability and determination will be key. Balancing priorities and managing tasks with focus and speed will make you a vital partner in driving progress and creating transformative change.
What You’ll Do:
Office Coordination (75%)
- Manage and oversee office facilities to ensure the workspace remains functional, comfortable, and inviting by addressing maintenance issues promptly and coordinating with cleaning or maintenance vendors as needed.
- Procure and monitor office supplies, ensuring inventory levels are maintained and restocked when needed to support uninterrupted operations.
- Act as the primary contact for all office-related communication, including handling mail, email, texts, and voicemails with a high degree of independence.
- Organize and efficiently process incoming mail, maintaining accurate records of invoices, receipts, and essential documents through a clear and streamlined filing system.
- Produce professional correspondence and documents using various software platforms, supporting other administrative tasks such as copying, mailing, faxing, and managing shipments.
- Coordinate and schedule appointments or meetings for visitors and team members, ensuring they are arranged smoothly.
- Deliver proactive administrative support for projects by anticipating needs, managing tasks efficiently, and ensuring timely execution—all with minimal supervision.
- Regularly review and revise office policies and procedures to ensure alignment with the organization's evolving needs.
- Perform minor bookkeeping, by tracking expenses and helping maintain financial records to support accurate reporting.
Event Coordination (15%)
- Lead the planning and execution of community events, independently coordinating all logistics and acting as the principal liaison with vendors and partners.
Communications Support (10%)
- Utilize tools like Canva to develop and execute email campaigns and digital content updates, ensuring all communications align with our vibrant brand and mission.
Who You Are:
- At least 1 year of experience in office management, office coordination, or equivalent role.
- A self-starter who thrives working independently and taking initiative with minimal supervision in hybrid environments.
- A proactive problem-solver capable of managing multiple priorities in a fast-paced, dynamic setting.
- Highly organized with exceptional attention to detail, ensuring smooth day-to-day operations, from inventory management to scheduling and correspondence.
- A collaborative team player who values communication and fosters a welcoming, professional environment for visitors and team members.
- A resourceful and adaptable individual who can navigate challenges with determination and handle tasks with efficiency and speed.
- Skilled in event planning and logistics, able to coordinate community events and liaise with vendors to ensure successful execution.
- Tech-savvy with proficiency in tools like Google Workspace, Microsoft Office, Slack, and other software to enhance administrative processes.
- Committed to creating a functional, inviting office space that supports innovation and empowers team members to excel in their roles.
- Practically equipped with reliable vehicular transportation and the ability to lift up to 40 lbs as needed for tasks such as office setup and event coordination.
COMPENSATION:
This temp-to-hire non-exempt position offers $27.00-$32.00 per hour, depending on experience, with a flexible schedule. Hours may vary week-to-week, making this an ideal role for someone seeking flexibility.
