DEPARTMENT OR SCHOOL SITE
The Accounting and Disbursements Division is comprised of a team of talented and highly committed professionals who are dedicated to providing excellent customer service and fulfilling Los Angeles Unified School District’s fiduciary responsibility to ensure that public funds are properly disbursed, accounted for, and reported in order to meet the instructional and operational needs of all students and the District. The Payroll department mission, as part of the Accounting and Disbursements Division, is to support the educational community by providing quality customer service to ensure reliable, accurate and timely compensation. The Payroll department oversees payment of compensation for over 66,000+ employees.

JOB DUTIES/RESPONSIBILITIES
A Payroll Distribution Specialist performs clerical and manual duties in connection with payroll distribution and responds to inquiries regarding the disposition of salary warrants.
Typical duties include:
- Assisting employees in personal and telephone contacts by:
- Searching and analyzing payroll distribution data to ascertain disposition of salary warrants.
- Providing employees information for completing lost warrants affidavits and witnessing their signatures.
- Interpreting information from district SAP and HRS records, LACOE records, computer printouts, microfiche records, and personal computers to determine warrant and payroll numbers, location codes, stop payments, outstanding checks, gross amounts, hourly pay, deductions, and net amounts.
- Explaining differences in types of payroll warrants, amounts issued, and variations in payroll3 calendars.
- Loading and operating stamping, and sealing machines.
- Calibrating machines to assure appropriate changes in different payroll runs.
- Determining causes of incorrect machine operations and stoppages and making or requesting adjustments and minor repairs.
- Pulling warrants from payroll runs for garnishments, changes of address, over and under payments, and deceased employees.
- Assembling and packaging payroll runs for delivery to schools and offices.
- Loading and shelving trays containing warrants for mailing and distribution.
- Processing documents with the Los Angeles County Office of Education for payments to designees of deceased employees, stale dated warrants, and for actions and payments regarding claims of fraudulently cashed checks.
- Maintaining logs and preparing monthly reports regarding lost warrants, warrant disposition, returned warrants, and stale dated checks.
- Maintaining files of warrant designee and address cards.

MINIMUM REQUIREMENTS
PROMOTIONAL STATUS IS REQUIRED
You must be a current or retired employee of LAUSD with 130 paid days in regular status in the Classified Service or permanent status in the Certificated Service or have been laid-off within the past 39 months from a regular, permanent LAUSD position in which you passed probation.
Laid-off employees' eligibility as a promotional candidate expires at the end of their 39 month period; as such, laid-off employees applying for promotional career opportunities man not be eligible to complete the assessment process or may be removed from the employment eligibility list once their eligibility as a promotional candidate expires
EDUCATION:
Graduation from high school or evidence of equivalent educational proficiency, preferably supplemented by courses in office practices and procedures, business English, and computer usage.
EXPERIENCE:
One year of clerical or office experience that included operating various office machines and explaining policies and procedures or preparing and maintaining payroll time reports.

DESIRABLE QUALIFICATIONS
Ideal candidates will have a working knowledge of:
- Rules and regulations regarding the processing of lost warrant affidavits and the replacement of salary warrants
- Various payrolls produced by the District
- Various school payroll calendars
- Microsoft operating systems
- Microsoft Excel, Outlook, and Word Office practices and procedures
- Procedures for files organization and maintenance
- Operation of various office machines to be able to make minor repairs and adjustments SAP HR and Payroll Modules
An ideal candidate in this position will have the ability to:
- Explain rules and procedures necessary for filing lost warrant affidavits and replacing salary warrants
- Communicate effectively, both orally and in writing Work under pressure of multiple deadlines
- Learn to set up and operate various payroll delivery machines that operate at a high rate of speed
- Learn payroll codes for interpreting warrants and register data
- Compile data and prepare reports
An ideal candidate will be able to:
- Stand for extended periods of time
- Safely lift and carry trays weighing up to 25 pounds

Selection and promotion are based on a competitive employment assessment process. Candidates who pass all parts of the assessment process are placed on a hiring (eligibility) list based on their assessment score. Hiring departments may make job offers to candidates on the top three ranks of the hiring list. Eligibility typically lasts for 12 months. The hiring list resulting from this assessment process may be used to fill open positions in related job classifications.
