Job Summary/Objective:
The Accounts Payable Specialist provides accounts payable duties to the Finance Team. The Accounts Payable Specialist is responsible processing, verifying cost invoices and credit card charges for the firm. Communicate appropriately with vendors, clients, and internal departments focusing on financial duties. Meets accounting standards, attention to detail and accuracy, ability to effectively multi-task and meet deadlines gracefully.
Job Duties:
- Abides by all company procedures and accounting principles.
- Daily processing of vendor invoices in accounting systems including obtaining proper approvals and documentations to ensure that invoices are compliant with internal accounting guidelines.
- Maintains accurate and up-to-date vendor files in the accounting system, such as w9, vendor address, etc.
- Audits, reconcile, and posting credit card charges within a timely manner.
- Reviews automatic credit card payments to ensure correct coding and authorization as well as sufficient contracts and documentations.
- Responds to external vendors and internal attorneys regarding all aspects of the accounts payable process, including verifying, recording, and process invoices.
- Verifies the accuracy of vendor invoices and confirm that the correct general ledger account codes and case name are used.
- Scans invoices related to bills in the accounting system.
- Assists with processing annual 1099s to vendors.
- Performs other accounting responsibilities, as requested or assigned by management
Desired Competencies & Skills:
- At least one year of experience using QuickBooks
- Hands-on experience with Microsoft Excel and/or Google Sheets
Supervisory Responsibility:
This position does not have any direct reports.
Work Environment:
As we are a growing firm, this position operates in a highly fast-paced office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Essential Physical Functions:
- Safely lift and carry objects weighing up to 25 pounds
- Heavy computer and keyboard work
- Sitting for the majority of 8-hour workday
Position Type/Expected Hours of Work:
This is a full-time position. Days of work are Monday through Friday; hours may be modified, but typically start from 9:00 AM to 5:30 PM, based on an eight-hour workday. Position may also require extra work hours (overtime); schedule may be adjusted according to our operational needs.
Required Education and Experience:
- High school diploma; associate or bachelor degree in relevant field preferred, but not required
- G-Suite (G-Mail, Docs, & Sheets) and MS Office Suite (Word, PowerPoint, & Excel)
